Description
The Portage County Health & Human Services department is hiring a limited term Administrative Associate I. This position will provide administrative support to the Office Supervisor and act as a back up for front desk services.

Assists with records requests received for the agency:
- Researches new record requests to confirm whether request meets requirements to release records.
- Accesses multiple databases to retrieve records in electronic format.
- Prepares records to be released to requestor with final approval of records to be released from Office Supervisor.
- Provides information to Office Supervisor if it does not appear records can be released to requestor.
- Creates invoices for record copies for requests that are to be billed to requestor.
Other Administrative Support:
- Prepares packet of paperwork to give to supervisors for new hires to complete.
- Updates various databases with new hire information.
- Sends reminders to other staff in the agency regarding civil rights training requirements, collects proof of training, and updates spreadsheets.
- Sends blank evaluation form to supervisors based on agency staff’s evaluation schedule. Records date evaluation completed.
- Prepares packet of paperwork to give to supervisors overseeing new interns and updates
What are the minimum job qualifications?
- High school diploma or equivalent required.
- Two years prior office experience highly desirable.
- A minimum of two years’ experience using Windows 95 required; ability to use Excel, OrgPlus for Windows and Adobe Acrobat preferred.
- Ability to type accurately and efficiently.
- Any combination of education and experience which provides the necessary knowledge, skills and abilities.
