The Portage County Health & Human Services team is hiring a full-time Child Support Assistant - Lead!
Summary of Position:
This position works with Child Support Specialists and their caseload performing duties relating to the child support program regarding paternity establishment, court order establishment, enforcement and collection of child support and medical support payments for children by complying with federal regulations, state and administrative laws. The team members communicate and work closely on Child Support cases. Duties include preparing and processing court pleadings, other legal documents, correspondence and various forms necessary for completion of assigned cases. Schedules court hearings and service of process. Respond to inquiries from court staff. Review and work “KIDS” computer system worklists as assigned. Generates and works assigned reports. Scan all documents. This position also serves as the Child Support Assistant Lead.
What are the primary job duties related to the Child Support Assistant duties?
- Prepare and e-file all court pleadings, legal documents, correspondence and forms as requested. Submit appropriate paperwork for service of process.
- Maintain regular follow-up procedure to assure expected paperwork returned timely.
- Access and distribute e-filed documents regarding paternity, child support, spousal support, medical support and protection orders.
- Randomly verify work search efforts of participants. Refer to Specialist for determination of further possible legal action as required.
- Prepare and process Children First and Forward Services referrals.
- Coordinate and schedule court hearings and services of process. Prepare and distribute calendars to all interested parties. Reschedule court hearings as needed.
- Coordinate with Clerk of Court to schedule language interpreters at hearing as needed.
- Work closely with the Family Court Commission to obtain private access codes for virtual paternity hearings.
- Verify and interpret demographic/other information received through numerous absent parent locate resources. Submit locate requests and consult with Specialist as needed.
- Access Internet/Intranet relating to other absent parent locate resources and all work related information available.
- Review Bulletin Board and Fact Sheets to remain current with job responsibilities.
- Query state computer systems/various programs for information relating to assigned IV-D cases. Submit necessary information to interfacing systems when appropriate.
- Document case events in state system as appropriate.
What are the primary job duties related to the Child Support Assistant - Lead duties?
- Train all new Child Support Assistant employees on all processes/procedures.
- Oversee accuracy of legal documents produced by Child Support Assistants while in training and after as needed.
- Answer all questions the Child Support Assistants may have regarding processes/procedures.
- Create and update all Word document templates.
- Create new Child Support Assistant procedures and update Child Support Assistant procedures when needed.
- Initiate access to any Work number vendors.
- Work with process servers and update any changes provided by them. Locate new process servers as needed.
- Identify and order any Child Support forms as needed from the State of Wisconsin.
- Liaison for the State of Wisconsin, WIKIDS/CCAP e-filing interface. Keep up to date on any changes to the WIKIDS/CCAP e-filing interface system via meetings and trainings. Train all co workers and attorneys on any updates/changes.
- Create and update all custom content for WIKIDS computer system.
- Train Paternity Specialist on the CARES system.
- In the absence of the Paternity Specialist and/or as needed initiate all incoming referrals from Economic Support and WISACWIS.
- Work/disposition all CPAD and DGUP worklists received.
- Assist Supervisor in setting up vendors and entering invoices in the County ERP (MUNIS) as needed.
What are the minimum qualifications?
- High School diploma or equivalent required. One year of accredited vocational college or technical school in Legal, Paralegal, Public Administration, or related field preferred.
- Experience with computers and word processing required.
- Customer service experience with the public required.
- Minimum of three years' experience drafting legal documents, with family law, paternity establishment procedures, and child support investigative procedures.
