Do you have a friendly personality and have medical office administrative experience? The Portage County Health and Human Services department is hiring an Administrative Associate I!
Starting pay: $18.28 / hour
What are the primary job duties?
Provides Agency-wide Reception Services, which includes:
- Acknowledges, greets and assists customers in a friendly and professional manner.
- Answers incoming phone calls, as well as internal calls from staff and take accurate messages for staff as necessary.
- Refers persons to appropriate staff and provides information as required.
- Refer emergency calls and/or emergency drop-in clients to Intake Workers.
- Takes payments by check, cash or credit card, and issues receipts for over-the-counter payments and enters them into our system.
- Assists customers in receiving and completing appropriate service applications.
- Assists customers with items they are picking up and dropping off and delivers to appropriate staff.
- Access’s CARES system for Economic Support to obtain case numbers for documents that need to imaged. Print off out generated noticed for CARES customers.
- Handles Child Support incoming calls by transferring customers to their case worker or access the KIDS system to obtain customers case worker.
- Optical image Child Support, Economic Support, and AS400 documents using various imaging programs.
- Assists word processing with mailings and/or special projects and maintain incoming faxes for Agency wide and forwards them to the appropriate staff.
- Change intake schedule daily as needed using Cisco Unity web based program.
Provides Administrative Support to Mental Health Clinic, which includes:
- Calls clients to remind them about their mental health appointments.
- Schedules client appointments via computer system with appropriate staff and provides reminder slips as necessary.
- Generates mental health staff logs from the computer system and provides them to mental health staff.
- Sets up new client account numbers as necessary.
- Maintains waitlist logs for Mental Health staff
- Maintains client information for clinic records.
- Supports the Psychiatric Doctors and Counselor

What are the minimum qualifications?
- High school diploma or equivalent required.
- Two years receptionist or office experience required. Recent experience preferred.
- One year experience or special training in dealing with difficult people or in the professional medical office setting required. Recent experience preferred.
- Certified Medical Assistant preferred.
- Experience using a computer required.
- Any combination of education and experience which provides the necessary knowledge, skills, and abilities.
