The Portage County Health & Human Services department is hiring a limited term Administrative Associate I to support the Public Health division.

2024 starting pay is $17.74

Summary of Position

This limited-term employment position greets and assists customers in a friendly, professional manner; schedules and reschedules appointments; accepts payments, answers phones; refers calls; provides information to the public, has contact with clients through phone and walk-in contacts, including acute and chronic psychiatric patients, and supports WIC, Community Health, and Life Point clinics and other employees within the Division of Public Health.  Strict customer confidentiality is mandatory.

What are the minimum qualifications?


Provides Division of Public Health Reception Services

 

  • Acknowledges, greets, and assists customers in a friendly and professional manner.
  • Answers incoming phone calls, as well as internal calls from staff.
  • Takes accurate messages for staff as necessary.
  • Refers persons to appropriate staff.
  • Provides information as required on public health programs.
  • Refer emergency calls and/or emergency drop-in clients to appropriate intake staff.
  • Takes payments by check, cash or credit card, and issues receipts for over-the-counter payments and enters them into the ERP system. 
  • Assists customers in receiving and completing appropriate service, program applications, or licensing information.
  • Assists customers with items they are picking up and dropping off and delivers to appropriate staff.
  • Handles incoming calls by transferring customers to the appropriate staff or program.
  • Optical image Division of Public Health documents as needed.
  • Assists with mailings and/or special projects.
  • Maintains incoming faxes for the Division and forwards them to the appropriate staff.
  • Change intake schedule daily as needed using web-based program.
  • Assist with incoming and outgoing mail for the Division

Provides Administrative Support to Division of Public Health Clinics and Medication Room
 
  • Calls clients to remind them about their appointments.
  • Schedules client appointments via computer system with appropriate staff and provides reminder slips as necessary.
  • Sets up new client account number or information as necessary.
  • Maintains waitlists as necessary.
  • Maintains client information for clinic records.
  • Supports Public Health nurses, Registered Dieticians, and other public health staff.
  • Provide support for public health community outreach materials.
  • Provide support for mental health nurse to inform when medication room patients arrive.
  • Maintain other office support for Health and Human Service services as needed.

What are the minimum qualifications?
 
  • High school diploma or equivalent required.
  • Two years receptionist or public health services support experience required. Recent experience preferred including contract tracing for disease investigation purposes.
  • One year experience or special training in dealing with difficult people or in the professional medical office setting required. Recent experience preferred.
  • Experience using a computer required.Any combination of education and experience which provides the necessary knowledge, skills, and abilities.
