The Portage County Planning & Zoning department is hiring two (2) full time Administrative Associate II to join the team!  One Administrative Associate will support the Zoning section, while the other Administrative Associate will support the Land & Water Conservation section.


Summary of Administrative Associate II (Zoning):
 

Position serves as the main receptionist for the County Planning and Zoning Department’s staff members.  In this capacity, the employee is responsible for referring all telephone and walk-in inquiries to proper personnel.  This position is responsible for providing administrative and program support to the Zoning Section, which includes assisting clients with completing zoning permit/stormwater review permit applications, composing and typing correspondence, documents, codes, violation letters, etc. for staff. This position inputs receipts for payments received for permits. In addition, this position provides full administrative and program support to the Portage County Board of Adjustment in a time-sensitive manner, which entails typing, mailing, documentation, minute taking/transcribing, and filing of all Board related information such as agendas, minutes, surrounding property owner notification, public hearing notices, Board decisions, etc.  Attendance at Board meetings (daytime and evening hours) is required to take and later transcribe minutes of the meetings.  Provides back-up to other Administrative staff and Department administrative needs as necessary.

 

What are the minimum qualifications?
 

  • High school diploma or equivalent required.
  • Two years office support experience in order to fulfill the required knowledge, skills, and abilities.
  • Must be a licensed driver and have access to an insured, licensed vehicle.

 

Summary of Administrative Associate II (Land & Water Conservation):
 

This position is responsible for providing program support to the Department's Land and Water Conservation Division (LWCD) and Central Wisconsin Windshed Partnership Group (CWWP), including the maintenance of the LWCD and CWWP filing systems, composing and typing correspondence, newsletters, agendas, minutes, brochures, news articles, government forms, cost sharing contracts, processing department accounts payable, procurement card charges, general bills, receipts, monthly vehicle expense report, assistance with budget preparation, and posting website updates.  Responsible for implementing conservation youth education programs and associated pamphlets, contests, press releases, and newsletters.  Excel database maintenance and work with desktop publishing program.  Create and maintain mailing lists.  Provide back-up for the Department’s main point of contact for customers.  Assist with zoning permit inquiries, draft applications, review, intake, and receipt. Assist with other Department administrative needs as necessary.  Provide full support to governing Committee and CWWP Advisory Committee, and any department ad hoc/subcommittees as assigned (day or night meetings/minutes/notices).

 

What are the minimum qualifications?

  • Conservation and/or agriculture emphasis desired. 
  • Must be a licensed driver and have access to an insured, licensed vehicle.
